About the Opportunity:
We are currently seeking an experienced Contracts Administrator to join our growing team to be based in Bibra Lake, WA or in the Southwest of WA. As the successful applicant you will prepare, review and contract manage all aspects of the head contracts and associated subcontracts for the organisation’s projects. The role will work closely with project managers, clients and subcontractors to ensure contracts are executed accurately and on commercially competitive terms, all parties meet their contractual obligations, and any issues and disputes are raised and resolved promptly.
More specifically you will:
- Assist with tendering activities when required, with reviews of terms and conditions, preparation of contractual qualifications and input into commercial terms (including the financial model) and Head Contract negotiations
- Conduct all contract administration activities, such as to identify contract management requirements, ensure contractual obligations are met in a timely manner, monitor contract securities and insurances and completion of contract close-out documentation
- Draft and prepare variations and all correspondence including notices of delay, extensions and other claims (including payment claims) for approval in accordance with the Authorities and Obligations Matrix, whilst maintaining the change register and other systems and procedures
- Proactively assess commercial and contractual risks and opportunities, identify and implement appropriate controls and escalate actual or potential issues or disputes to Project Manager and to the National Commercial and Procurement Manager
- Provide support to Project Manager on contractual interpretation and rights and obligations under the relevant contract
- Prepare key subcontracts with the Procurement Specialist to ensure appropriate flow down from Head Contract, ensuring that risks gaps are minimised and in consideration of subcontractor capabilities and scope of works.
- Effectively manage subcontracts through all phases to ensure subcontractor obligations are satisfied, including obtaining and monitoring securities and insurances, relationship management, claims/variations processing, completion and close out
- Assist with cost forecasting and invoicing for Head Contract and for subcontracts to ensure they are accurately maintained / issued, and any issues are appropriately escalated upon identification
- Prepare reporting on commercial and contractual performance periodically
- Assist dispute resolution processes as required
As our ideal candidate you will have:
- A bachelor’s degree in business, law, construction, project management, quantity surveying or a related field or equivalent experience.
- Significant experience in contract administration, legal support, or a related role, preferably in the construction or an engineering related industry.
- Strong understanding of contract law, commercial and legal frameworks/pricing models (such as lump sum, target cost incentive, cost plus),
- standard construction contract terms and negotiation strategies.
- Excellent written and verbal communication skills and an ability to build and maintain strong stakeholder relationships.
- Strong organisational and time management skills with the ability to manage multiple contracts and priorities.
- Attention to detail and an ability to identify risks or inconsistencies in contracts.
- High level of integrity and confidentiality coupled with strong problem-solving and an analytical mindset.
